Service Magnet ("we," "us," or "our") is committed to protecting your privacy. This Privacy Policy explains how we collect, use, and protect your information.

We comply with the Privacy Act 1988 (Cth) and the Australian Privacy Principles (APPs).

2. WHAT INFORMATION WE COLLECT

When you sign up for Service Magnet, we collect:

  • Your name

  • Your email address

  • Your phone number

  • Your business name

  • Payment details (credit card, processed securely via Stripe)

When your AI receptionist takes calls, we collect:

  • Caller name

  • Caller phone number

  • Caller email

  • Job details / service requested

  • Call transcripts (optional)

  • Call duration and time

Automatically when you use our platform:

  • Your IP address

  • Browser type and device information

  • Pages you visit

  • How you use the service

3. WHY WE COLLECT THIS INFORMATION

We collect information to:

  • Set up and manage your account

  • Process payments

  • Answer calls through our AI receptionist

  • Store and organize customer inquiries

  • Send job information to ServiceM8, email, or other systems you authorize

  • Improve our service

  • Provide support

  • Meet legal obligations

4. HOW WE USE YOUR INFORMATION

Your Business Information:

  • To operate your Service Magnet account

  • To process payments

  • To provide customer support

  • To improve our service

Customer Information (collected during calls):

  • To store and organize inquiries

  • To send to ServiceM8 or your email inbox (as you authorize)

  • To analyze service performance (anonymized)

  • To improve call quality

We will not:

  • Sell your information to third parties

  • Use it for marketing without your consent

  • Share it with anyone except where you authorize (e.g., ServiceM8)

5. WHERE YOUR DATA IS STORED

Your data is stored on servers in:

  • EU (via Retell.ai)

  • US (via Chatdash)

Both providers use industry-standard security measures. By using Service Magnet, you consent to data storage in these locations.

6. DATA SECURITY

We protect your information using:

  • Encryption (data in transit and at rest)

  • Secure access controls

  • Regular backups

  • Limited employee access

However, no online system is 100% secure. We cannot guarantee absolute security, but we take reasonable steps to protect your data.

7. HOW LONG WE KEEP YOUR DATA

Your Account Data:

  • We keep it while your account is active

  • After you cancel, we keep it for 12 months for legal/tax purposes

  • You can request deletion anytime

Customer Data (from calls):

  • You can delete it anytime from your dashboard

  • If your account closes, we delete it after 12 months

  • If legally required, we may keep some data longer

8. THIRD-PARTY INTEGRATIONS

ServiceM8: When you authorize integration with ServiceM8, we send customer call data (name, phone, email, job details) to your ServiceM8 account. You're responsible for ServiceM8's privacy practices. Read their privacy policy at servicem8.com.au

Stripe (Payments): We use Stripe to process payments. Your payment information is never stored by us. Read Stripe's privacy policy: https://stripe.com/privacy

Retell.ai & Chatdash: Your data is processed and stored by these providers. They're bound by their own privacy policies and security standards.

9. YOUR RIGHTS

Under Australian Privacy Law, you have the right to:

  • Access your personal information

  • Correct inaccurate information

  • Delete your information (subject to legal requirements)

  • Know how we use your data

  • Lodge a complaint with the Office of the Australian Information Commissioner (OAIC)

10. CUSTOMER DATA & YOUR RESPONSIBILITY

Important: You must inform your customers that:

  • Their calls will be answered by an AI receptionist

  • Their personal information (name, phone, email) will be collected and stored

  • Where data is stored (EU, US)

  • How it will be used

You're responsible for obtaining customer consent to collect and share their data with us. If a customer doesn't consent, we cannot collect their information.

11. DATA BREACHES

If we discover a data breach affecting your information, we'll notify you as soon as possible (within a reasonable timeframe) with:

  • Details of what was breached

  • What information was affected

  • Steps we're taking to fix it

  • What you should do

12. CHANGES TO THIS PRIVACY POLICY

We may update this Privacy Policy. We'll post the new version on our website and notify you via email. Your continued use of Service Magnet means you accept the updated policy.
